06
Vehicle Workflow

Digital Pre-Inspection & Vehicle Inspection

For vehicle inspection services, the user must provide accurate vehicle and policy-related information and follow the capture instructions displayed in the application or communicated by the authorised service team.

  • Photographs and videos should be clear, current and relate to the vehicle being inspected.
  • Required vehicle views, documents, odometer details, identification marks and existing damages should not be deliberately concealed.
  • Where permitted, the application may record capture date/time, device information and location to support authenticity and verification.

You are responsible for the legality, accuracy and completeness of the information you submit. You should have the necessary authority or consent to provide vehicle, policyholder, driver, document, image and other information supplied through the Service.

You agree to cooperate with reasonable verification requests and to correct material errors when identified.

08
Information

Data Collection & Privacy

Depending on the service, we may process account details, contact information, vehicle information, policy/claim information, documents, transaction details, support communications, inspection media and technical usage information.

Personal information is handled in accordance with the applicable IRC OneSource Privacy Policy and relevant legal or contractual requirements. Where a client or insurer controls the purpose of processing, data may also be handled according to that entity's lawful instructions.

09
Inspection Evidence

Photos, Video, Device & Location Information

Digital inspection can require access to a device camera and, where relevant and permitted, location or device metadata. Such information may be used to establish inspection context, verify capture authenticity, identify duplication or inconsistencies, support fraud controls and prepare service outputs.

You should grant only those device permissions required for the relevant feature. Certain inspection functions may not operate correctly if essential permissions are denied.

10
Technology

AI & Automated Analysis

Some services may use artificial intelligence, computer vision, rule-based logic, analytics or other automated tools to assist with image review, damage identification, data validation, valuation, workflow prioritisation or reporting.

  • Automated outputs are decision-support inputs and may be subject to human review, client rules and additional verification.
  • Image quality, angle, lighting, obstruction, vehicle condition and incomplete data can affect automated analysis.
  • Final insurance decisions remain subject to the concerned insurer/client and applicable policy, contractual and regulatory requirements.
11
Deliverables

Reports, Assessments & Valuations

Reports are prepared using information available at the relevant time and for the stated service purpose. Unless expressly agreed otherwise, a report should not be treated as a guarantee of future vehicle condition, claim admissibility, repair cost, market price or insurance acceptance.

Valuation and assessment results may depend on vehicle age, variant, condition, location, market information, supporting documents, client rules and other relevant inputs.

12
Ecosystem

Insurance Companies, Partners & Third Parties

To deliver a requested service, relevant information may be shared with or received from insurers, authorised agents/intermediaries, workshops, technology vendors, verification providers, payment providers and other service partners where permitted and necessary.

Third-party websites and services may have their own terms and privacy practices. IRC OneSource is not responsible for independently operated third-party services merely because a link or integration is made available.

13
Ownership

Intellectual Property

The website design, software, workflows, trademarks, branding, databases, proprietary analytics, documentation and other company-owned materials are protected by applicable intellectual-property laws. No ownership rights are transferred to a user merely by access to the Service.

You may not copy, modify, reverse engineer, redistribute, sell, sublicense or commercially exploit protected components except with prior written permission or where applicable law expressly permits it.

14
Commercial

Pricing, Taxes & Payment

Fees may differ by service type, vehicle category, insurer/client arrangement, geography, service scope and applicable commercial agreement. Taxes and statutory charges, where applicable, may be charged in addition to the service fee.

The amount displayed or communicated for a particular transaction will govern that transaction unless corrected before service delivery due to an obvious error or superseded by an agreed client/insurer rate.

15
Transactions

Cancellation & Refunds

Once a service has been materially initiated, performed, inspected, analysed or reported, the associated service charge may be non-refundable, subject to applicable law and the specific commercial arrangement.

Duplicate payment, failed transaction or other payment-related concerns should be reported with transaction details so that they can be reviewed. Any approved refund will be processed through an appropriate payment method and may take the processing time required by the relevant payment/banking network.

16
Protection

Data & Platform Security

We use reasonable administrative, technical and operational safeguards designed to protect systems and information. Access may be restricted according to role and business need. However, no internet, mobile, cloud or electronic storage system can be guaranteed to be completely secure.

Users must not knowingly introduce malware, harmful code or security threats into the Service.

17
Fair Use

Prohibited Activities

  • Submitting fabricated, manipulated, misleading or unauthorised vehicle photographs, videos, documents or claim information.
  • Using the Service for fraud, impersonation, unlawful surveillance, harassment or other illegal activity.
  • Bypassing access controls, security restrictions, rate limits or authentication mechanisms.
  • Attempting to discover source code, protected algorithms or confidential system architecture through unauthorised means.
  • Using company names, logos, reports or credentials in a way that falsely implies authorisation, certification or endorsement.
18
Operations

Service Availability, Maintenance & Changes

We may modify, maintain, upgrade, restrict or temporarily suspend a feature to improve security, performance, compliance or service quality. Availability can also be affected by internet connectivity, device compatibility, third-party systems, maintenance, force majeure or other circumstances outside reasonable control.

Where practical, material operational changes affecting contracted services will be handled according to the relevant engagement or SLA.

19
Limitations

Disclaimer & Limitation of Liability

The Service is provided using reasonable professional and technical efforts, but information and technology may occasionally contain errors, interruptions or limitations. To the extent permitted by law, IRC OneSource does not provide warranties beyond those expressly agreed in writing.

IRC OneSource will not be responsible for losses caused by inaccurate user-supplied information, unauthorised account use, third-party decisions, external system failures, connectivity problems or use of a report outside its intended purpose, except where liability cannot lawfully be excluded or limited.

20
Responsibility

Indemnity

To the extent permitted by law, a user may be responsible for claims, losses or reasonable costs arising from that user's unlawful use of the Service, violation of these Terms, infringement of third-party rights, or submission of information without the necessary right or authority.

21
Access Control

Suspension & Termination

We may restrict, suspend or terminate access where reasonably necessary for security, suspected fraud, material breach, non-payment, legal compliance, misuse or protection of users and systems. A user may stop using the public Service at any time; account or data-related requests may be submitted through the applicable support channel.

Terms which by their nature should continue after termination—including intellectual property, payment obligations, confidentiality, liability provisions and dispute provisions—may survive termination.

22
Legal Framework

Governing Law & Disputes

These Terms are governed by the laws of India. Any mandatory statutory or regulatory rights available to a user remain unaffected.

Unless a separate written agreement specifies another dispute mechanism or jurisdiction, disputes relating to the Service will be handled before the competent courts/jurisdiction applicable under the Company's governing contractual framework.

If any provision is found unenforceable, the remaining provisions will continue to apply to the extent legally possible. Failure to enforce a provision on one occasion does not automatically waive the right to enforce it later.

23
Updates

Changes to These Terms

We may revise these Terms to reflect changes in services, technology, business processes, law or compliance requirements. The current version may be published on this page with an updated effective date. Where required, additional notice may be provided through the website, application, registered contact details or other appropriate channels.

Continued use after an updated version becomes effective constitutes acceptance to the extent permitted by applicable law.
